Book-a-Room plugin for LEANWI websites
The Book-a-Room plugin allows website visitors to independently reserve and manage reservations for library spaces, for library staff to manage room availability and review reservations, and for reporting on room usage. Version 1.0 was released to LEANWI library websites in April, 2025.

Book-a-Room FAQ
Can a library create recurring events?
Yes. A library can establish recurring events in specific rooms (example, weekly Story Time on Tuesdays at 10 AM in the large meeting room) during which the room is not reservable by the public. Individual events in the series can be modified/canceled.
Can a library customize room availability?
Yes.
During set-up, library staff will determine basic settings for all spaces, including basic reservable block of time, number of block reservable (maximum reservation time), reservations per day, and available times for each day of the week. A library also determines and customizes how far out reservations can be made (i.e., 3 months, 6 months, 1 year, etc.).
Can library staff manage bookings?
Yes.
Libraries can assign staff - even staff who normally don't work on the library website - logins that give them permission to access the room booking backend. There staff have the ability to view booking details (name/contact information for those who have reservations), modify bookings, delete bookings, add/modify reservations for library programs and use, and add reporting information such as category of event or audience type.
What reporting features are available?
Library staff can download reports on room usage over time period, including category of event, audience type, and amount paid, if that information was entered on the reservation.
What setup is required?
Before making the reservation system available to the public, the library will need to input information for:
- Each available space (description, capacity, available amenities, photo, etc.);
- Time availability;
- Type of reservation information requested and required (name, contact, etc.);
- Any meeting room policies or agreements a person reserving a room must agree to.
- Any library programs/events.
Are there creative non-room use cases?
Yes! This system could also be used to "book a person," or pieces of equipment, or other items that can't be reserved through the normal ILS. One example: book one-on-one tech time with a staff person during specific staff hours.
If something has set time periods of availability, it can be added as a "venue" for booking.
What features are potentially coming?
We are releasing Version 1.0, which means it has been developed and tested with a limited number of sites. While the design is to be as flexible and customizable to various library needs, it's likely we haven't though of our figured out how to integrate everything.
Feature(s) we hope to develop and integrate into future versions:
- Ability to sync with Google or Outlook calendar.
Feature(s) we know will not be available with this plugin:
- Integration/validation through a library ILS (i.e., checking for valid registered library user account, fines, etc.)
Do I have to have a LEANWI website?
Yes.
The very basic prerequisite is that a website must be a WordPress website to function. Beyond functionality, we are only able to provide installation and support to for websites within the LEANWI (IFLS/NWLS/WRLS/WVLS library systems) Website Service.
If you are a library within the LEANWI partnership, but currently are not hosted or supported by the LEANWI Website Service, and interested in moving to system hosting, please send an email to websitehelp@librarieswin.org.
We are not able to offer this room booking plugin to websites outside of the LEANWI library service at this time.
How long will it take to get this set up on my website?
Once your request has been received and reviewed by Brendan, you will be contacted to schedule a time to install the plugin on your website.
Libraries will be contacted beginning April 1, 2025.
Setup and training will take some preparation on the library's part. Implementation will be based on the library's responsiveness and follow-through on setup and staff training.
